To-Do Lists versus Time Blocking

Running a business on your own comes with a constant challenge of managing your time effectively.

And when I first started Optimum Creative Media and for a long time, I relied on traditional task lists.

I would either make a note in my phone or physically write down everything I needed to get done and working through each item until it was completed or right up until I needed to be elsewhere or work on something else.

While this method has its benefits, I noticed that it sometimes left me feeling drained or unmotivated, especially on days when tasks dragged on longer than expected.

Recently, I switched to time blocking, allocating specific chunks of time for certain types of work throughout the day.

And the results have been noticeable.

I feel more productive, motivated, and focused, and it’s easier to manage both client work and business development without feeling overwhelmed.

Comparing To-Do Lists and Time Blocking

To-Do Lists Pros

  • Clear overview of all tasks

  • Satisfaction from ticking items off

  • Simple to implement

To-Do Lists Cons

  • Can feel endless if tasks take longer than expected

  • Hard to account for unexpected interruptions

  • Motivation can dip if progress is slow

Time Blocking Pros

  • Structured day with dedicated time for specific activities

  • Helps prevent task spillover and overworking

  • Encourages focus and reduces procrastination

Time Blocking Cons

  • Requires planning and discipline

  • Unexpected tasks can disrupt the schedule

  • Can feel rigid if over-planned

Whilst time blocking is working for me, there is no one-size-fits-all approach.

The key is to find what suits your workflow and personality.

Tips for Solo Business Owners in Leicestershire

As a solo-run business in Leicestershire, managing your own time is one of the most important skills you can develop. My advice would be:

  • Experiment with both approaches to see what keeps you productive

  • Trial what breaks you prefer (e.g. away from screen, leave the room)

  • Review your day and adapt your schedule if something isn’t working

  • Use tools like calendars, timers, or task management apps to stay on track
